Local production planning
Confirm the venue footprint and the local film contact.
Florida’s regional film-office directory identifies Broward-area contacts, including Film Lauderdale. Use that resource to begin questions for the exact Fort Lauderdale location, then confirm the venue’s own filming arrangements. A hotel room, waterfront exterior, and nearby public area need separate descriptions. A directory listing does not turn an event booking into unrestricted access for a commercial camera team.

At a hotel or conference venue, obtain loading, freight, credential, and approved interview-room details before assigning participant times. Ask the AV team when microphones and feeds can be checked. A waterside terrace may look appealing but introduce wind, activity, and changing light; choose it for dialogue only after assessing those conditions. Keep a quiet interior option and enough transition time for guests returning to sessions, particularly when interview and stage coverage require the same camera resources.
Planning example · illustrative brief
Customer conversations during a regional business gathering
A brand wants a Fort Lauderdale event recap and four customer interviews. The hypothetical brief identifies the stage moments that cannot be missed, reserves an interview room, and gives a coordinator responsibility for bringing guests on time. Each conversation follows a story outline tied to the campaign, leaving room for the customer’s own account. The venue confirms where general activity can be filmed and which presentation materials need review. Optional waterfront context is treated as a separate sequence, not a reason to compromise clean interview sound.
From local capture
to final delivery.
We shape the Fort Lauderdale event film around its guests, ideas and useful moments. Share the agenda, AV contacts and customer windows so the interview plan fits the gathering. Our editing brief distinguishes continuous recordings, the recap and individual testimonials, with the campaign treatment, publishing priorities and review responsibilities established before the first conversation is filmed.

Provisional planning guidance
Price the recap and customer stories as separate outputs.
A conference gathering can require stage capture, a quiet room and a coordinator for customer slots. Include freight, credentials, AV testing and transitions back to sessions. Name continuous recordings, the recap and individual films separately so the provisional range follows overlapping coverage needs rather than assuming waterfront context or venue access is sufficient preparation.
Interview filming
$2,500–$4,500USD planning range
One filming day at one location, with two interviews. Your team supplies the creative direction and handles the edit.
One finished interview film
$5,250–$9,500USD planning range
Creative planning, one filming day, two interviews and one two-minute film. No additional format versions.
A connected film series
$11,750–$21,500USD planning range
Creative planning, two filming days, four interviews, three main films totaling five minutes, plus two straightforward format versions.
Illustrative scopes based on Flywheel’s current estimating guidance. These are provisional planning ranges, not fixed packages, a booking or a final quote. Actual locations, hours, crew, rights and delivery requirements need Flywheel confirmation.
Assumptions and costs to confirm
Planning assumptions
- Starter USD planning allowances are working benchmarks, not a universal industry rate card or a final quote. Flywheel confirms the scope, crew, schedule and commercial terms.
- Creative planning assumes discovery, a story outline, interview themes and basic production preparation.
- Each production day assumes up to eight hours with a two-person interview or corporate production crew and a standard camera, basic lighting and sound package. Specialist equipment, extra crew and overtime need separate review.
- Routine location coordination and ordinary interview preparation are included in the planning and filming allowances; those calculator rows add no separate charge. Location changes can still increase filming time.
- Editing combines a base allowance for each distinct main film plus an allowance for the total finished minutes. The base alone is not the complete editing price.
- An additional version means reframing or a straightforward shorter cut from the approved main film. New concepts, languages, major restructuring or extensive graphics need separate review.
- Editing assumes two consolidated rounds of client feedback. Final review rounds, media handoff, source files, storage and licensing must be defined in the agreed scope.
- All visitor quantities are working assumptions. Unknown scope, complex requirements or specialist review terms can prevent an automatic numerical estimate.
Exclusions unless agreed in scope
- Travel and accommodation unless expressly included.
- Location fees, permits, talent and usage rights unless expressly included.
- Stock, music, third-party licenses and taxes unless expressly included.
- Specialist equipment, additional languages, animation, visual effects, broadcast and unusual access requirements unless expressly included.
- Additional filming, changed creative direction and new deliverables outside the confirmed scope.

Florida Office of Film and Entertainment — local film-office directory ↗
Does a Fort Lauderdale hotel booking establish waterfront filming access?
Confirm the venue’s actual arrangements and describe any waterfront or public-area sequence separately. Florida’s regional directory identifies Broward-area resources, including Film Lauderdale, as starting contacts. A directory listing or event booking does not by itself settle the commercial camera footprint throughout neighboring settings.
How should an interview room near the event be selected?
Confirm loading, freight, credentials and guest access, then test the room against live programming and AV activity. A terrace may add wind or changing light even if it looks attractive. Keep a controlled interior option and allow transition time for customers returning to their sessions.
How can four customer conversations fit around a recap?
Mark the stage moments that cannot be missed and put customer windows beside them. Reserve the room and appoint a coordinator to bring guests. Discuss separate support where coverage overlaps, using an interview outline tied to the campaign rather than collecting conversations without an identified editorial purpose.
Which event deliverables need their own scope?
List continuous session recordings, the edited recap, individual testimonials and additional platform versions. Identify review and publication priorities for each. They can share source material, but the crew coverage and editing work differ, so the provisional estimate should not reduce every output to a single highlights film.
