Your information

Privacy at
Flywheel Video.

This notice describes information collected through this website’s project and crew inquiry forms and embedded Vimeo films.

Information you share

Project inquiry forms collect your contact information and the production details you provide. Crew inquiries collect contact information, work location, experience and links or equipment details you choose to share. Please do not submit passwords, sensitive personal information or confidential patient details through these forms.

How we use it

Flywheel Film, LLC uses inquiry information to review and respond to your request, prepare production proposals, coordinate relevant work and consider crew submissions. Information may be shared with production collaborators when needed to evaluate or carry out the project.

Storage and service providers

Form submissions are stored in the website’s WordPress administration system. Notifications may also be sent by email. Hosting and email providers process information to operate those services. Website security systems may process technical information to protect the site and limit abusive submissions.

Project source information

A project request may include the Flywheel Video page from which you opened the form, to help the team understand the production you are asking about.

Embedded video playback

Portfolio pages include films hosted by Vimeo and load Vimeo’s external player. Vimeo processes information under its own privacy policy. You can also choose a link to watch the film directly on Vimeo.

Cookies and external websites

WordPress uses cookies for administration and login functions. Links to Flywheel Film project pages, Vimeo, production resources and filming authorities take you to external websites with their own privacy practices.

Questions and requests

To ask about information you have submitted or request its correction or deletion, email contact@flywheelfilm.com. Include enough context for us to locate your inquiry.

Production assistant and brief builder

Before using the assistant, you provide an email address and consent for Flywheel to save your email and conversation to respond and follow up about your project. We save the information privately in WordPress and, when connected, in Flywheel’s private Google spreadsheet. This does not subscribe you to a newsletter. The address is checked for format; we do not verify mailbox ownership through this form.

Your chat questions, the assistant’s answers and their timestamps are saved to your inquiry so the Flywheel team can review the conversation. If AI assistance is available and you choose it, your project answers and relevant conversation history are sent to OpenAI. The separate contact fields are not included in that request. Avoid entering contact details, confidential information, medical information or other sensitive personal data in messages or planning answers.

Brief-builder draft answers stay in the current page rather than browser storage. We save the generated brief to your inquiry only when you choose to send it for review. Opaque access tokens and a signed copy of the result support this process for up to two hours. Downloads are saved on your own device. Hashed connection identifiers and temporary counters help limit misuse. Submitted details are handled like other project inquiries under this policy.

When AI assistance is enabled, the request asks OpenAI not to store the response as application state. This does not remove all provider retention; OpenAI may retain data for abuse monitoring or other purposes described in its policies. OpenAI privacy policy.
