These references help a team filming customers at an Orlando meeting define both individual accounts and campaign continuity. Decide how interview responsibilities are shared and which editorial elements connect the finished stories.

Local production planning
A regional permit process still starts with an exact address.
The Orlando Film Commission serves as a liaison to local jurisdictions and its one-stop resource distinguishes municipalities and location types across the region. It asks productions to discuss county, city, or state parks and state roads directly with the office. Name the venue, municipality, and any exterior footprint before assuming the same process covers every planned stop.

and the filming day.
For a convention hotel, ask how crew credentials, equipment deliveries, freight access, and filming in common areas are handled. A suite near an event can be convenient but may pick up corridor or ballroom sound. Confirm a controlled interview room with the venue. For outdoor transitions, review the forecast and have a covered alternative so optional footage does not disrupt scheduled customer conversations.
Planning example · illustrative brief
Customer stories during a company meeting
A brand has customers traveling to an Orlando meeting and wants several testimonials while they are together. The planning example books interview slots around sessions, reserves a quiet room, and assigns a coordinator to bring participants. Each conversation follows a common story outline while leaving room for individual experience. A separate shot list covers relevant event interactions, with venue and participant permissions addressed before those images become part of the finished customer stories.
From local capture
to final delivery.
Send the attendee windows, event agenda, venue contact, intended messages, and filming boundaries. Decide whether the deliverable is one compilation, individual testimonials, or both. We can produce the Orlando film as a contained production or connect it to later customer interviews elsewhere using the same treatment and editorial structure.

Provisional planning guidance
Price the customer schedule, not simply the meeting.
Customer availability between sessions, interview-room control, freight access and crew credentials define the practical recording window. Describe the main stories, event interactions and finished versions separately. The provisional range should reflect interview coordination and editorial scope, with outdoor transitions flexible enough to protect the conversations when conditions change.
Interview filming
$2,500–$4,500USD planning range
One filming day at one location, with two interviews. Your team supplies the creative direction and handles the edit.
One finished interview film
$5,250–$9,500USD planning range
Creative planning, one filming day, two interviews and one two-minute film. No additional format versions.
A connected film series
$11,750–$21,500USD planning range
Creative planning, two filming days, four interviews, three main films totaling five minutes, plus two straightforward format versions.
Illustrative scopes based on Flywheel’s current estimating guidance. These are provisional planning ranges, not fixed packages, a booking or a final quote. Actual locations, hours, crew, rights and delivery requirements need Flywheel confirmation.
Assumptions and costs to confirm
Planning assumptions
- Starter USD planning allowances are working benchmarks, not a universal industry rate card or a final quote. Flywheel confirms the scope, crew, schedule and commercial terms.
- Creative planning assumes discovery, a story outline, interview themes and basic production preparation.
- Each production day assumes up to eight hours with a two-person interview or corporate production crew and a standard camera, basic lighting and sound package. Specialist equipment, extra crew and overtime need separate review.
- Routine location coordination and ordinary interview preparation are included in the planning and filming allowances; those calculator rows add no separate charge. Location changes can still increase filming time.
- Editing combines a base allowance for each distinct main film plus an allowance for the total finished minutes. The base alone is not the complete editing price.
- An additional version means reframing or a straightforward shorter cut from the approved main film. New concepts, languages, major restructuring or extensive graphics need separate review.
- Editing assumes two consolidated rounds of client feedback. Final review rounds, media handoff, source files, storage and licensing must be defined in the agreed scope.
- All visitor quantities are working assumptions. Unknown scope, complex requirements or specialist review terms can prevent an automatic numerical estimate.
Exclusions unless agreed in scope
- Travel and accommodation unless expressly included.
- Location fees, permits, talent and usage rights unless expressly included.
- Stock, music, third-party licenses and taxes unless expressly included.
- Specialist equipment, additional languages, animation, visual effects, broadcast and unusual access requirements unless expressly included.
- Additional filming, changed creative direction and new deliverables outside the confirmed scope.

Plan your Orlando

Resolve the location, capture and delivery questions before the filming day.
Orlando Film Commission — one-stop location and permit planning ↗
Which location information does the Orlando film contact need?
Name the venue, municipality and any exterior footprint, including relevant parks or roads. The regional resource distinguishes jurisdictions and location types. Discuss public-space tasks separately from the hotel room, rather than assuming the same process covers every stop associated with a company meeting.
What should the hotel confirm for customer interviews?
Ask about crew credentials, equipment delivery, freight access, common-area filming and a room that can remain quiet. Check corridor and ballroom sound during event activity. Reserve setup as well as interview time, and identify a venue contact who can address access questions before guests arrive.
How do we avoid losing customer slots between sessions?
Place appointments around the agenda, assign a coordinator to bring participants and use an agreed story outline. Keep the interview setup available rather than repeatedly moving it for optional event images. Tell the producer where windows overlap so the crew plan reflects real availability.
Can event interactions appear in individual customer films?
Yes, when they are relevant and their filming and participation arrangements are addressed. Prepare a separate shot list showing which interactions support each account. Define the main testimonial films, shorter versions and review responsibilities so the same footage can be used intentionally across the campaign.
