Local production planning
Separate the campus contact from the interview approval.
The Connecticut film office connects productions with location resources and information for state, town, and private settings. For New Haven, confirm who manages the building and which organizational contact authorizes the proposed scenes. A university room, healthcare space, and city exterior have distinct access questions. State guidance can help identify contacts; it does not clear the content or reserve the property.

For an interview near a clinical or teaching area, ask about room privacy, corridor activity, overhead announcements, and the available setup period. Participants may need a support person or breaks, which should be arranged through the project contact before scheduling. Laboratory or procedural footage needs its own approved activity list and a suitable host. If the film crosses between buildings, allow for escorted movement and equipment access rather than making participants wait while the crew discovers a second entry process.
Planning example · illustrative brief
A specialist conversation with a carefully prepared demonstration
An institution needs a New Haven specialist to explain a service and wants supporting footage for an educational film. In the hypothetical brief, a reviewer checks the intended topics and identifies a demonstration that can be filmed without private records or unplanned participant involvement. The interview is recorded in a controlled room, with the demonstration scheduled separately through its responsible team. The specialist explains what each visual means, giving the editor useful factual context. The production does not assume that access to an institution includes access to every department.
From local capture
to final delivery.
We plan the New Haven interview and demonstration as parts of one educational story, then edit them for the intended audience. Share general participant needs, location contacts and the approval structure; agree any confidential information through the project team. Captions, graphics and review milestones can be included in the production scope before filming begins.

Provisional planning guidance
Allow for a controlled conversation and separate demonstration.
A specialist film near clinical or teaching activity needs a private room, setup time and the organization’s approved participant arrangements. Include building transitions and the demonstration team’s window. State captions, educational versions and factual-review ownership so the provisional range reflects the actual explanation and access process rather than unrestricted institutional coverage.

Assumptions and costs to confirm
Planning assumptions
- Starter USD planning allowances are working benchmarks, not a universal industry rate card or a final quote. Flywheel confirms the scope, crew, schedule and commercial terms.
- Creative planning assumes discovery, a story outline, interview themes and basic production preparation.
- Each production day assumes up to eight hours with a two-person interview or corporate production crew and a standard camera, basic lighting and sound package. Specialist equipment, extra crew and overtime need separate review.
- Routine location coordination and ordinary interview preparation are included in the planning and filming allowances; those calculator rows add no separate charge. Location changes can still increase filming time.
- Editing combines a base allowance for each distinct main film plus an allowance for the total finished minutes. The base alone is not the complete editing price.
- An additional version means reframing or a straightforward shorter cut from the approved main film. New concepts, languages, major restructuring or extensive graphics need separate review.
- Editing assumes two consolidated rounds of client feedback. Final review rounds, media handoff, source files, storage and licensing must be defined in the agreed scope.
- All visitor quantities are working assumptions. Unknown scope, complex requirements or specialist review terms can prevent an automatic numerical estimate.
Exclusions unless agreed in scope
- Travel and accommodation unless expressly included.
- Location fees, permits, talent and usage rights unless expressly included.
- Stock, music, third-party licenses and taxes unless expressly included.
- Specialist equipment, additional languages, animation, visual effects, broadcast and unusual access requirements unless expressly included.
- Additional filming, changed creative direction and new deliverables outside the confirmed scope.

Questions, answered
Plan your New Haven
production.
Resolve the location, capture and delivery questions before the filming day.
Does Connecticut location support clear all New Haven departments?
Identify the building manager and organizational contact authorized for the actual scenes. A university room, healthcare setting and City exterior have separate access questions. State resources can help locate contacts, but do not reserve rooms, authorize content or extend a host’s approval across an entire institution.
What should be arranged around participant needs?
Confirm the interview window, any support person or breaks and the room’s privacy through the project contact. Hold setup time before arrival and assess corridor activity, announcements and ventilation. A demonstration or second building should have its own responsible team rather than make the participant wait during access discovery.
How can an approved service demonstration support the interview?
Choose a sequence that explains the specialist’s points without private records or unplanned participants. Have the responsible team arrange it and the specialist explain what each visual means. Keep those notes with the recordings so the editor receives factual context rather than assumed access to unrelated institutional activity.
What should a specialist-film estimate distinguish?
Name interview preparation, filming, the demonstration, graphics, captions and expected educational versions. State who supplies facts and consolidates review. If the organization already owns writing or editing, identify the handoff so the provisional scope represents the production work needed instead of duplicating internal responsibilities.
